HOW IT WORKS

Follow these steps to get your first project into histORACLE — about 10 minutes once your file is ready.

RETRIEVE YOUR SOV EXPORT
Log into Textura (Oracle), Procore, Sage, or your construction billing platform and export the subcontractor Schedule of Values for your project. Your export must include at least 3 columns with headers: Contract Description, Line Item / Sub-Phase Description, and Scheduled Value. For bulk multi-project imports, a 4th column is required: Project Number / Name. No formatting or column stripping needed — import the raw export directly.

EXPORT AS EXCEL
Run the Schedule of Values report in your billing platform and export as Excel (.xlsx). histORACLE finds the 3 required columns automatically and classifies every line item by Uniformat, Masterformat, and Bid Package. If only a PDF is available, you will need to convert it to Excel first using a PDF-to-Excel converter such as Bluebeam Revu (Export → Excel), Adobe Acrobat (Export PDF → Spreadsheet → Excel), or a free online tool like Smallpdf.com or ILovePDF.com. Once converted, import as normal.

ENTER KEY PROJECT METRICS
Fill in project name, job number, sector, GMP date, total GMP value, GSF, and escalation rate (default 4%). These drive your $/SF and escalated $/SF calculations. Additional project metrics — including structure type, HVAC system, envelope type, project duration, and more — can be edited or filled in at any time after the project is created in the Project Info tab.

IMPORT YOUR EXCEL FILE
On Step 2 of the wizard, upload your raw SOV export. histORACLE automatically finds the correct columns and loads every line item. Click CREATE PROJECT.

REVIEW & ADJUST THE AUTO-SORT
histORACLE auto-classifies most line items using its built-in keyword library, but every SOV is worded a little differently, so some lines may need correction. Open the Line Items tab and review the Uniformat, Masterformat, and Bid Package dropdowns for each row. Use Apply to All in the column headers to code an entire contract at once when every line in it belongs to the same classification.

USE DRAG & DROP FOR FASTER RECLASSIFICATION
For a faster, more visual way to fix misclassified line items — especially when several items across different contracts need to move to the same classification — use the Drag & Drop Reclassify tool, available from the Line Items tab. Select one or more line items and drag them onto the correct Uniformat or Masterformat classification. This is the quickest way to get your baseline sort fully accurate.

GET YOUR BASELINE SORT RIGHT BEFORE STARTING CUSTOM SORTS
Every Custom Sort (in the Custom Summary tab) is scoped to a single Uniformat classification — it only sees line items that are already classified into it. If a line item's Uniformat code is wrong, it will look "missing" from the Custom Sort it should actually belong to. Finish Steps 6 & 7 — a fully accurate Uniformat / Masterformat / Bid Package sort — before moving into Custom Sorts, so you're not troubleshooting two things at once.

USE CUSTOM SORTS FOR CATEGORY-LEVEL DETAIL
Once your baseline sort is accurate, open the Custom Summary tab to break each Uniformat classification into more detailed categories — for example, splitting Plumbing into Fixtures, Piping Systems, and Equipment. Uniformat-Detailed templates come pre-built with standard categories and auto-populate for any classification that has cost. Drag line items into a category, or use the dropdown next to each item. This category-level detail is what powers the Custom Sort Breakdown in the Detailed Comp/Cost Builder.
